What a request for quotation is

A request for quotation (RFQ) is the document a company uses to ask a supplier for prices and terms for products, materials, services or works. The supplier answers with a quotation, and you compare the answers and choose.

Under the Romanian Civil Code (art. 1190), a request to make offers, addressed to one or more specific persons, is not by itself an offer to contract. You are bound only once you accept a quotation you received. Rules in other countries may differ.

What the request should include

A clear request says who is asking, for what, in which quantity, by when you expect the answer and under which delivery terms. The core is the line table: name, specifications, unit and quantity.

Ask the supplier to answer on the same lines, with the unit price excluding VAT, availability and lead time. That way the quotations can be put side by side. If you accept equivalent products, say so in the specifications.

How to send the request to several suppliers

With the downloaded file, you email the same PDF or Word document to each supplier and collect the answers, usually in a separate spreadsheet, to compare them.

In Oifers, the request goes from your account to several suppliers at once. Each supplier gets a link and answers line by line; you see the answers in a comparison, choose a supplier for each line and can turn them into the quotation for your client. The request you start on this page is imported into your account as a requirement list after sign-up.

Frequently asked questions

Is it free?

Yes. The generator is free and unlimited: create and download as many requests as you like, with no account and no card. The Oifers account is separate and optional; the Free plan needs no card.

Do I need an account?

No. You fill in and download the request without signing up. You only need an account to send the request to several suppliers from Oifers and compare the answers; the request you started here is then imported into your account.

Where is my data stored?

Only in your browser, on this device (localStorage). We don’t send it to a server until you choose to import the request into an account. The “Delete everything from this device” button deletes it immediately.

Does a request for quotation oblige me to buy?

Under the Romanian Civil Code (art. 1190), a request to make offers is not by itself an offer to contract: you are bound only once you accept a quotation. Rules in other countries may differ. This is not legal advice.

How many suppliers should get the request?

Between private companies, you decide how many suppliers to ask. Send the request to suppliers who can realistically deliver what you need. Funded projects may have their own rules; check the funder’s guide.

Why does the table have empty columns?

The “Unit price excl. VAT” and “Availability / lead time” columns are for the supplier. In the Word file they can fill them in directly, on the same lines, which makes the answers easier to compare.

Can I send the request in Romanian or Hungarian?

Yes. You choose the document language: English, Romanian or Hungarian. Only the fixed texts, such as column headings, are translated; what you type stays as you wrote it.

Is it suitable for public procurement?

No. Public procurement has its own forms and rules. The generator is for private companies asking their suppliers for prices.
